It is our goal to provide you and your family with the highest quality of dental care, while maintaining a friendly and relaxing environment. You will love going to the dentist! To keep our standard of care to a level which best serves your dental needs, we ask that you please observe the following guidelines:
Appointments
We know you’re busy, so we offer convenient appointment times. We make every effort to be as efficient as possible in order to accommodate our many patients. Your dental appointment is considered confirmed at the time of booking. This means we are reserving time with our doctor, assistant, hygienist and administration, as well as operatory space as required. We will be sterilizing and preparing the operatory space as well as all the equipment and materials required for your appointment. As a courtesy, we will contact you two weeks and the day before your appointment to remind you of your appointment. Missed appointments and last minute cancellations result in unnecessary staffing costs and create gaps in our schedule that prevent other patients from being seen within a reasonable timeframe. For these reasons we must impose a firm cancellation policy.
Cancellation Policy
Your scheduled appointment is a commitment to be honoured.
We require 48 hours (two business days) notice for any rescheduling or cancellations. To change your appointment, please call our office during regular business hours to speak to our receptionist. Our team will be happy to re-accommodate you and offer your original appointment time to another patient.
We do understand that illnesses or other emergencies can occur unexpectedly. If something comes up on the day of your appointment that prevents you from attending, please advise us right away. We will use our discretion when evaluating a first-time last minute cancellation or missed appointment. Should a same day cancellation or a missed appointment occur a second time or subsequent more times we reserve the right to charge a missed appointment fee of $60 (which we will donate to a charity of our choice).
In the event a patient does not “show up” 3 times, the practice policy is to ask the patient to find a different practice, at which point we will be happy to transfer the records of that patient to a new office with a letter explaining why the transfer is being made.
The missed appointment fee is the patient’s responsibility and all future scheduled, or required appointments, will no longer be held or booked until the assessed fee has been paid.
*Saturdays are an exception to this policy. Due to high demand, appointments cancelled with less than 2 business days’ notice or no shows on Saturdays are subject to an automatic cancellation fee of $60. This will be charged as a deposit to schedule another Saturday appointment. If you attend this next appointment this fee will be applied to the cost of your treatment that day. If you cancel with less than 2 business days’ notice or No-Show again this fee will be applied as a cancellation fee (donated to the charity of our choice).
We appreciate your cooperation and look forward to making you smile at your next visit.
Payment Policy for patients with or without Dental Insurance
Unless prior arrangements have been made, payment is due upon completion of treatment. We accept Cash, Interact, Mastercard or Visa. If there are any outstanding charges on your account, payment is expected in full prior to your next appointment. If full payment is not made your appointment will be rescheduled until your account is paid.
As a courtesy, Connections Dental Group will accept payment directly from your Insurance Company for your dental care where the following conditions are met:
- ALL DETAILS AND INFORMATION ABOUT YOUR DENTAL PLAN (such as your recall interval) ARE PROVIDED BY YOU. IT IS YOUR RESPONSIBILITY TO NOTIFY US OF ANY CHANGES IN YOUR PLAN IMMEDIATELY (i.e. layoff, divorce, etc.) YOUR DENTAL INSURANCE PROVIDER DOES NOT INFORM US.
- Uninsured balances are paid in full on the date of service.
- Insured balances are paid within 90 days
- You will be notified of your dental insurance provider inactivity of payment 60 days following treatment by our office.
- If, after 90 days, your dental insurance provider has not responded with payment, you are personally required to provide full payment of your account.
Please understand that by this point we will have reviewed and contacted your insurance company at least 3 times.
At this time we will be happy to fill in a dental claim insurance form in order that you may contact your employer or the dental insurance company directly to claim your benefits.
Please note that not all services may be covered by your insurance carrier and every insurance plan has its own unique “quirks” and exceptions. Our office will do our best to assist our patients in understanding the details of their insurance plan; however, we are limited in the information we can access and it is ultimately the patient’s responsibility to understand their insurance.
For patients without Dental Insurance
Unless prior arrangements have been made, payment is due upon completion of treatment. We accept Cash, Interact, Mastercard or Visa.
If there are any outstanding charges on your account, payment is expected in full prior to your next appointment. If full payment is not made your appointment will be rescheduled until your account is paid.
We look forward to taking care of your oral health needs and welcome you and your family to Connections Dental Group.
